How to Insert PDF Files inside Excel
Sometimes we need to connect PDF Files in Excel. If an architect tries to list all the completed project and send it to a colleague. Its time to insert the building design inside the excel file through PDF. There are two ways to insert PDF files in excel. You can either link it or embed it. Both have their advantages and drawbacks. In this tutorial I’ll show you both ways and I’ll show you some awesome hacks for both this option.
Insert pdf file in excel by linking it:
1. First way to link Pdf file is to create a shape. Click on the insert menu and then click on shapes. Design and format shapes according to your need. Right click on the shape and click on link. Browse the pdf file and click ok. Done you just added your first pdf file into excel.
2. The second way is to click on the cell you want to link the PDF file and then right-click and select link. Select the file and click ok. Done. This will create a hyperlink to you excel cell and the hyperlink text will be the PDF file name. When you click on it the file will open.
3. The third way to link Pdf file is to click on the insert menu and then click on text. From the text dropdown select object. Click on create from file Right. Check mark on link to file. Browse the pdf file and click insert. Now resize the PDF object and done.
Pros Of licking PDF to Excel File:
1. The file will be linked but the excel file size will not increase. This will allow you insert tons of PDF files in excel.
2. The Link will size and move based on the cell by default allowing you to hide/unhide link when you hide/unhide the cell.
3. You’ll be able to do sorting and the file link will move based on the sorting.
Cons of Linking PDF files to excel:
1. As the pdf is just lined inside excel cell if you move/delete pdf file from its original location the link will be broken and you can’t open it from excel.
2. If you share the excel file the link will stop working
Insert pdf file in excel by embedding it:
1. First way to embed Pdf file is to click on the insert menu and then click on text. From the text dropdown select object. Click on create from file Right. Check mark on display as Icon. Click ok and browse the pdf file and click insert. Now resize the PDF object and done. Your PDF file is embedded and the icon is from your default PDF reader.
2. The second way to embed Pdf file is to click on the insert menu and then click on text. From the text dropdown select object. Click on create from file Right. Uncheck display as Icon. Click ok and browse the pdf file and click insert. Now resize the PDF object and done. Your PDF file is embedded and the icon is the first page of your PDF file.
Things to consider when Embedding PDF File in Excel: Right click on the embedded file and click on Format Object. Click on Properties. There are three options:
Move and Size with cells: This will keep the object connected to the cell. If you hide/unhide, resize or even filter cells the pdf object will move just like the cell.
Move but don’t Size with cells: This will keep the object partially connected to the cell. If you hide/unhide, resize or even filter cells the pdf object will move just like the cell but it will not resize or hide or filter.
Don’t Move and Size with cells: This will keep the object floating and on the same location. If you hide/unhide, resize or even filter cells the pdf object will not move
Pros Of Embedding PDF to Excel File:
1. The Link will size and move based on the cell by default allowing you to hide/unhide link when you hide/unhide the cell based on the properties you select.
2. You’ll be able to do sorting and the file link will move based on the sorting based on the properties you select.
3. You’ll be able to share the workbook and it’ll be open the PDF from anyone.
4. Even you delete the main PDF file the embedded pdf will still be there.
Cons of Linking PDF files to excel:
1. As the pdf is embedded inside excel cell the excel file size increases a lot. This will make your excel file slower if you add too many PDFs.
